The Situation

Coffee shops, restaurants and other local businesses know when a customer leaves happy, but that rarely turns into a public review, and complaints often reach the owner too late to fix. The founder wanted one platform a business could use at the counter, on a phone, tablet or computer, to capture a customer’s rating, follow up automatically and keep an eye on its reputation across Google, Yelp and TripAdvisor.

The Constraint

Customers would never install an app just to leave feedback, so everything on their side had to work from a single link in an email or text message. Owners are busy running a shop, so complaints couldn’t depend on someone remembering to check a dashboard. The same account had to work on mobile and the web, including the subscription, without the business paying or signing in twice.

What we did

We built the iOS and Android app, the web app, the Firebase backend and the admin panel.

No app for customers: staff record a rating in the app or on the web. The server texts or emails the customer a link, and the customer finishes on a simple web page styled in the business’s own brand colours.

Reputation in one dashboard: during setup, a business connects its Google, Yelp and TripAdvisor listings, and the dashboard pulls in its public reviews from all three. Owners see public reviews and private feedback side by side.

Follow-up that doesn’t get forgotten: a scheduled job reminds the owner every two days about every unresolved complaint, until it is marked fixed. Owners can reply to feedback directly from the dashboard.

One subscription everywhere: app store purchases and web payments both run through RevenueCat, so a business that subscribes on the web is unlocked in the app, and the reverse.

Fast reporting: review counts are added up month by month as they come in, so the yearly positive and negative charts load from twelve monthly records instead of every single review.

Growth tools: owners can send promotions to their customer list by email or SMS and invite other businesses through a referral programme.

The trade-off

The positive and negative split is based on star ratings, not on AI analysis of what customers wrote. That keeps reports instant, free to run and easy for an owner to understand. The cost is nuance: a three-star review praising the food but complaining about wait times counts the same as any other three-star review. Text analysis was left as a later upgrade

What we would do differently

We would make complaint reminders escalate, not repeat. The scheduled job sends the owner a new alert for every unresolved complaint every two days, so a busy owner can end up with a long list of the same alerts. One clear daily summary, escalating only when a complaint stays open, would have kept owners acting on complaints instead of muting them.
